Purpose of data collection
The Council collects your information when you take part in consultations and surveys to listen to your views and ideas, understand what people think about services and changes, help improve services, policies, and events and make better decisions that affect you and your community.
Types of data collected
Depending on the survey, we may collect:
- contact details (name, address, email, phone – if you choose to give them)
- basic information about you (age, gender, ethnicity, disability, postcode area)
- your answers to consultation and survey questions
- information about how you use the Let’s Talk Derby website (for example, pages visited)
Sometimes we may ask for more private (sensitive) information, but only if:
- it is needed for that consultation or survey
- the law allows us to ask for it
- we explain clearly why we are asking
How data is used
- to understand what different people and groups think
- to plan and improve Council services, policies, and events
- to check if some groups are missing from consultations (for example, young people, carers)
- to contact you if you have asked for more information or to be involved again
- to create reports, research and statistics
- meet our legal duties as a local authority
Sharing of data
We may share your information with:
- other parts of Derby City Council, to help improve services and respond to your feedback
- trusted research or consultation companies who run surveys for us
- other public bodies (for example, Police or government agencies) if the law says we must
- other Council teams if there is a safeguarding concern (if someone may be at risk of harm)
We would never sell your information or share your information with companies for advertising or marketing.
Your rights
You have rights over your personal information. You can:
- Access – ask for copies of the personal information the Council holds about you.
- Rectification – ask us to correct information that is wrong or incomplete.
- Deletion – ask us to delete your information, unless we must keep it by law.
- Portability – ask us to move your data to another service or to you.
- Object / Restrict Processing – ask us to stop or limit how your information is used.
- Prevent Automatic Decisions – challenge decisions made only by a computer, without a person.
